It’s common to feel overwhelmed when there are too many moving parts to keep track of. There will always be too many moving parts, stakeholders, coordination, prioritization, surprises, deadlines, things out of your control, and someone just decided not to do it because they did not feel it that important to do so. All of this and assuring you something will pop up out of the blue.
One key to success is to establish clear goals and objectives. If the goals are unclear, any progress is no progress, and any failure may be catastrophic. So, identify what you are looking to achieve at the end.
Another helpful tactic is to break down larger projects into smaller, more manageable pieces. Don’t try to do everything in one go; it cannot happen, it will not happen, and someone will always say you fell short today. But if you try to achieve smaller chunks of progress at the end of the day, you will have moved forward from where you started. Fall Forward.
Communication is super crucial when it comes to project management. Consider the waterfall effect; it doesn’t move forward until the previous gap overflows. Take it from the rule of 3rds. The team performing the task is in the centre (2/3). You have to make sure that the team before (1/3) is clear of the baton handed over, so get going to their priorities, and the next team (3/3) is going to get the baton from (2/3), so make some space.
It’s essential to ensure everyone on your team is on the same page and knows what’s expected of them. They may disagree with you, but they understand where we are headed.
The crux is in the details; plan it to the last mile instead of doing incident analysis. You will know the ground reality with facts, and an agile approach can help to solve it better and faster. Always have the details. Any project after a point in time is unmanageable if you don’t have the details with you.
Regular check-ins and status updates can keep everyone accountable and ensure tasks are completed on time. These simple tasks can be done over an email, whether individual or scheduled group calls; remember, the key is non-time-consuming calls. When you make check-ins easy, nobody gets frustrated with updates.
Unexpected challenges are bound to arise, but if you stay calm and approach them with a problem-solving mindset, you’ll be able to overcome them and keep your project on track.
